What actually happened
Nothing broke on your end.
The rules changed underneath you. Every major mail provider now demands modern authentication and modern encryption — neither of which a 2014 multifunction copier has ever heard of.
The machine is fine. The internet moved.
Basic authentication was switched off
Microsoft 365 retired the simple username-and-password method your device was configured with. The device kept trying. The mail stopped arriving.
Old encryption is refused
Most relays now require modern TLS. Plenty of working equipment speaks only an older version — or none at all — and gets hung up on before it can say a word.
The big platforms won't take it either
Route it through one of the large email APIs and you hit the same wall: authentication is mandatory and old encryption is refused. There's no setting to turn either off. We accept both the old way and the new one.

Three steps, and it's someone else's problem.
Most sites are sending within a day. You don't need to touch the device more than once.
Tell us how your equipment should sign in
If your office has a fixed IP address, we allow-list it and your device needs no credentials at all. If it doesn't — most small offices don't — we issue a username and password per device instead.
Publish three DNS records
We generate them and show you the exact values to paste, then check them against live DNS and tell you plainly whether they're right. This is what makes your mail land in the inbox instead of the junk folder.

Mail that looks legitimate
Every message is signed as your domain and checked against the rules Gmail and Outlook actually enforce. That's the difference between the inbox and the junk folder.
Bad addresses stop themselves
When an address is permanently gone, we stop sending to it automatically. Repeatedly mailing dead addresses is one of the fastest ways to wreck a sending reputation.
One bad device can't take everyone down
Each customer has their own sending limit. A scanner stuck in a loop hits its own ceiling and gets held — it doesn't spend anyone else's headroom.
Held, not lost
If something is throttled or the far end is down, the message waits and retries. We'd rather your invoice arrive late than vanish silently.
Only you can send as you
Every account is locked to domains it has proven it owns — checked on the envelope and on the visible From address. Nobody else on the service can send as your company.
You can see every message
Sign in and search what you sent, when, and whether it arrived. Delivery records only — never the contents — and they are deleted after 30 days.

Our copier only does old encryption. Will it work?
Yes — that's the entire point. We accept plain and older-TLS connections on port 25 and re-send everything onward encrypted.
We don't have a static IP.
Not a problem. We issue a username and password per device, which works on any connection.
Does anything change about our mailboxes?
Nothing. We only handle mail your equipment sends. Incoming mail and your Microsoft 365 or Google accounts are untouched.
